Legal basis for processing

Headit processes personal data in accordance with the General Data Protection Regulation (GDPR). Depending on the situation, processing may be based on:

  • compliance with a legal obligation,
  • the performance of a contract,
  • legitimate interest related to our recruitment activities, or
  • consent where required.

Data collection of candidates

Headit collects personal data which is publicly available, as well as information exchanged in person (such as email, internet or phone). Candidate data may also be obtained from publicly available sources and job boards such as Indeed, VDAB, LinkedIn Recruiter, and the Headit website. This data consists of name, address, contact details (such as phone number and email address), and information related to your career (such as education, work experience, skills, salary expectations and references).

The purpose of processing this information is to identify a potential match with one or several of Headit’s (potential) clients. Personal data is not shared with any other parties than Headit’s (potential) clients.

We also use personal data of third parties such as:

  • persons you work with or have worked with who can provide us with more information about you – when you are offered a position;
  • past employers – to confirm employment dates;
  • educational institutions – to check your academic qualifications;
  • publicly available resources such as LinkedIn and social media sites to improve the information we hold about you;
  • clients to whom we have provided your CV and who have interviewed you as part of a job application or who have provided feedback on your CV.

Data collection of clients and prospects

We collect personal data such as name, address, position and contact details. If you provide us with information about a candidate (for example, if you confirm that a candidate has worked with you or if you provide a reference), we obtain your information from the candidate and we keep a record of the personal information you provide us with about that candidate.

We also process personal data from public domain sources such as LinkedIn and social networking sites, or because you were a delegate at one of our events or at an event where the event organizer is allowed to share delegate information with us.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Data storage of candidates

Personal data provided by candidates is stored in our internal recruitment system. Candidates do not have direct access to this system. However, under the GDPR, candidates may at any time request access to the personal data that Headit holds about them, as well as request rectification or erasure of that data, in accordance with their legal rights.

Who we share your data with

Personal data is shared only with potential or existing clients of Headit for recruitment purposes, or with service providers (e.g. Bullhorn, Hubspot, Teamleader, SD Worx for internal staff, Agilitas/Paymate for interim staff, cloud providers such as Microsoft and Google) under strict data protection agreements. Data may be transferred outside the EU in cases where service providers are based in third countries (e.g. LinkedIn, Microsoft, Google). In such cases, appropriate safeguards such as Standard Contractual Clauses (SCCs) are applied.

How long we retain your data

Unless otherwise required by law, Headit retains personal data indefinitely in order to provide long-term recruitment services to candidates and clients.

Your rights over your data

Under the GDPR, you have the following rights:

  • Right of access – to know what data we hold about you.
  • Right to rectification – to request corrections to inaccurate or incomplete data.
  • Right to erasure – to request deletion of your data, unless retention is legally required.
  • Right to restriction of processing – to limit how your data is used.
  • Right to object – to processing based on legitimate interest.
  • Right to data portability – to request transfer of your data to another provider.
  • Right to withdraw consent – where processing is based on consent.

Complaints

If you believe that Headit has not handled your personal data correctly, you have the right to lodge a complaint with the Gegevensbeschermingsautoriteit (GBA) in Belgium:

Security measures

Headit takes appropriate technical and organizational measures to protect personal data, including password protection, restricted access, and secure cloud storage.
